How to use the records

Correspondence received by the Town Clerk and Mayor from citizens and semi-officials has been bound into volumes in chronological order.

If the researcher knows the approximate date when the correspondence was written then the volume (unit) for the appropriate period may be identified in the consignment details. The unit number should be noted.

There are no indexes to this series.

VPRS 3181 Town Clerk's Correspondence Files Series I, also contains some correspondence from 1842 to 1858, although most of the correspondence in this series dates from 1858 to 1909.

Recordkeeping system

The correspondence is arranged in chronological order.

There is no sign of any document-level control such as an annual-single number system on the documents. No indexes to this correspondence have been located to date (October 1994).

At some time the miscellaneous letters were bound in chronological order into then volumes. The words Miscellaneous Letters and the year dates of their contents appear on the spines of these volumes.

Subsequent Series

After 1864 a distinction was no longer made as to the source of correspondence, the letters were numbered consecutively and filed. This correspondence forms VPRS 3181 Town Clerk's Correspondence Files Series I, which also includes some correspondence from 1842 to 1858.
