Why log in?

All public and government users must be logged in to be able to order physical records for viewing and to view My Details and My Orders pages.

Other actions, such as searching, browsing the catalogue or viewing digital records online, do not require a user to be logged in.

If you are logged in when you view or download a digital record online, your viewing history will be updated.  Your viewing history can be accessed from the My Orders page.

Having trouble logging in

If you are having trouble logging in, the following tips may be of assistance:

·                Enter the User ID that you received at registration.  The User ID will be printed on your User ID card issued in PROV’s Reading Room.

·                Enter the password that you nominated at registration.

·                Remember that passwords are case sensitive.  Check that Caps Lock isn’t on.

·                All passwords are between 6 and 10 characters long.

·                If you nominated a forgotten password question during registration, click on the ‘Forgotten your password question’ link from the Log in page.

Failed log in

If you enter an incorrect password for your User ID or you enter a User ID that doesn’t exist in the system, the following error message will be displayed: “Incorrect User ID / Password. Please check the CAPS LOCK key and then try again.”

If you enter an incorrect password 3 times, the ‘Log in Failed’ page will be displayed and users will have the following options:

·                Public Users: If you nominated a forgotten password question at registration, click on the ‘Forgotten your password question’ link.  After answering the forgotten password question correctly, the Reset Password page will be displayed.  If you answer the forgotten password question incorrectly, your account will be temporarily locked.  Contact PROV (1800 657 452) to reset your password.

If a forgotten password question was not nominated at registration, you will be temporarily locked out. If your account is locked, you will have to wait for five minutes before you can attempt to log in again, or contact PROV (1800 657 452) to reset your password.

·                Government Users:  Government users do not have a forgotten password question.  Your account will be temporarily locked out and you will have to wait for five minutes before you can attempt to log in again, or contact PROV (1800 657 452) to reset your password.

If you enter a User ID that doesn’t exist in the system, the error message will keep reappearing.  If you fail log in more than three times, ensure that you are entering your User ID exactly as you received it at registration and as it is printed on your User ID card.

How to log in / out

Before logging in, you need to register as a Public User or Government User to receive a User ID and password.  If you already have an active Archives@Victoria user account, you do not need to re-register.

To log into the online catalogue, click on the Log in menu.  The Log in page will be displayed.  Enter the User ID that you received at registration, and enter the password that you selected.  After successfully logging in, you will return to the page that you were on before beginning log in.  The Log in menu will change to Log out.

Trying to navigate to a page that requires the user to be logged in – such as a Direct Order page, or My Account Details page – or trying to order records from Search Results or Details page will result in the Log in page being displayed.  After successfully logging in, the user will be taken to the page that was requested.

Log out

To log out of the online catalogue, click on the ‘Log out’ menu option.  The Log out page will be displayed, and the menu will change to ‘Log in’.  You can continue using the online catalogue for searching, browsing the catalogue or viewing digital records online, which do not require a user to be logged in.

For security purposes, it is important to log out if you will be leaving the computer unattended for any period of time, particularly in the reading room or at a public computer.

For this reason, a logged in user will automatically be logged out after a certain period of inactivity.
