  • How to use the Records
    Consult series of Registers of Inward Correspondence as outlined below for registered numbers, then consult the Consignment Details for the bundle containing numbers within that range.

  • Function / Content
    This series consists of correspondence files of the Department of Crown Lands and Survey (VA 538). They appear to be files which have become separated from other series of correspondence files.

    Matters dealt with include queries regarding the availability of land for sale or for the extension of leased areas, the boundaries of proclaimed townships and inquiries from other Government departments regarding the use and availabilty of Crown land. Most of the records relate to lands in a limited number of Land Districts.

    Correspondence was given a cover sheet at the time of registration upon which was placed a summary of the subject of the piece of correspondence, the registration number, the date of receipt and the number of any previous piece of correspondence on the same subject. These cover sheets were also used for annotations by officers dealing with the matter and might include the draft of or the substance of any reply or reference onwards.

    The file number on the cover sheet was used to record the number of any previous piece of correspondence relating to this subject. All pieces of top-numbered correspondence received on the subject were collated together to form a file. Correspondence on the same subject was placed together for final filing with the number of the last piece of correspondence being the number under which the sequence was filed.

    Correspondence in the P1 consignment was previously registered as Units 1 and 2 and part of Unit 3 of VPRS 1004 Chief Clerk's Correspondence Files.

  • Recordkeeping System
    All correspondence in this series has an alpha-numeric or sequential registration number. The alpha-numeric numbers derive, prior to 1896, from registration in VPRS 166 Alphabetical Registers of Inward Correspondence and, for certain districts, from the subsidiary registers established under that system.

    After 1896, a seqential registration number derives from registration in either VPRS 3217 Register of Inward Correspondence, Numerical System, Secretary or from VPRS 620 Register of Inward Correspondence, Lands. An alpha-numeric number after c1896 derives from registration in series of registers of inward correspondence maintained for individual Land Districts or groups of Land Districts by the Occupation Branch. For example, from 1902 'G" series was for the Melbourne Land District; 'T' series was for the Sale, Bairnsdale and Omeo Land Districts.

    Arrangement in this series is according to alpha-numeric registration number.
