  • How to use the Records
    This series serves as an index to special correspondence contained in VPRS 3844 General Correspondence Files (Alphabetically Re-arranged Inactive Portion of VPRS 6008, pre 1928 Files), Single Number System and VPRS 6008 General Correspondence Files, Annual Single Number Systems. However, it is not necessary to use this index to retrieve files from VPRS 3844 or VPRS 6008. In the case of VPRS 3844, it is quicker to simply consult the records description list. In the case of VPRS 6008, it is better to consult VPRS 6009 Classified Registration Cards for General Correspondence, which functions as a formal and complete classified index. Refer to the series registrations for VPRS 3844 and VPRS 6008 for more information.

  • Function / Content
    This series comprises an index to special (frequently requested?) correspondence which is now contained in VPRS 3844 General Correspondence Files (Alphabetically Re-arranged Inactive Portion of VPRS 6008, pre 1928 Files), Single Number System and VPRS 6008 General Correspondence Files, Annual Single Number Systems. This self-indexing volume provides reference to selected correspondence by listing the subject matter, relevant correspondence number/s and corresponding registration/classification card.

    To find correspondence relating to a particular subject or person, the subject or name would have been located in this index and reference to relevant file number (either single number or annual single number) would have been noted.

    Some entries contain references to top-numbering of relevant correspondence. In others, it might be necessary to follow up the top-numbering process through the Attachment Books (VPRS 6012) Please refer to its microform copy comprising VPRS 6010.

    This series appears to have been created to facilitate retrieval of special, possibly frequently requested, correspondence. It does not appear to be a part of a formal recordkeeping system but rather a handy retrieval tool created by the agency for its own purposes.

    The 1977 edition of the Central Registry's Operations Manual, which lists other components of the early correspondence system, does not mention this series.

  • Recordkeeping System
    Entries in the volume were made within alphabetical sections. Within the sections, however, entries were not strictly lexicographical. Nor were they strictly chronological: many entries for early correspondence are interspersed among entries for later correspondence. This probably means that only correspondence which was likely to be needed again was indexed or that the indexing was done when the correspondence was retrieved or used, regardless of when it was originally received.

    For each item of correspondence indexed, this volume provided the subject, correspondence number and title of the relevant classified registration card in VPRS 6009.

    Series Date Range

    The date range qualifiers for VPRS 9605 are necessary because there is no precise way of dating the series. The start of the series date range was based on the fact that it contains references to single number system files (old key number). This system appears to have been first established sometime in 1928. Refer to the series description for VPRS 3844 for more information.

    Majority of entries refer to correspondence registered between 1908 and 1936, however references to later correspondence were also found. The latest correspondence referred to in this volume was registered in 1953; this date has been taken as the end of the date range for both the series and contents.
