How to use the Records
This index may be used to identify files in VPRS 8916 Subject Files: Annual Single Number (Personnel Department) by geographical location. Locations are mainly within Victoria but some overseas countries are also included in the index.
The index is arranged alphabetically. If researchers locate a card of interest relevant file numbers are listed in a column on the right hand side of the card. The records description lists for VPRS 8916 should be consulted to determine if files of interest have been transferred to PRO. Note that there may be more than one card for each location and there may be entries on both sides of cards.
Function / Content
This index was created to provide quick access to files in VPRS 8916 by geographical location as the focus of correspondence. Files indexed in this series cover subjects such as: SECV houses, amalgamation of district offices, abandonment of tramways at Ballarat, Geelong, SECV delegation to Japan, acquisition of electrical undertakings, etc..
Information recorded on the cards includes :
date (of creation of file);
Location (Abbotsford, Japan, Yarraville, etc);
Precis (equates to the file subject or title)
File Number (eg 8/38); and
card number (used when there was more than one card for a location).
Index cards in this series are green in colour and are arranged alphabetically by the name of the geographical locations within alphabetical sections. The cards are also numbered sequentially and arranged in number order within each alphabetic division. It is assumed that this series was created for the same period that VPRS 8916 was created, that is, 1978 to 1991.
This series was created as part of the recordkeeping system which included the files (VPRS 8916), a file register (VPRS 8917), indexes to files by name (VPRS 8920) subject (VPRS 8918 and VPRS 8919) by classified positions (VPRS 8922) and by claim number (VPRS 8923). The series description for VPRS 8916 includes a fuller description of the whole recordkeeping system.
