  • How to use the Records
    Refer to VPRS 8919 Authorised List of Subject Headings. This list was used in the Personnel Registry of the State Electricity Commission (SECV) to classify files by subject. Its purpose was to define authorised subject headings under which files were classified which in turn determined the physical arrangement of the Subject Index Cards located in this series.

    Each primary and secondary subject heading in the list is numbered. These numbers, rather than the headings themselves, are the means by which index cards in this series are accessed. After obtaining the numbers from the list in VPRS 8919, researchers should consult the Records Description list for this series and call up the unit that holds the relevant subject index cards. For each primary number representing a primary heading, there is one or more index cards for each secondary number representing a secondary heading. The files raised on a particular subject would be listed on the card. Note that there may be entries on both sides of the cards.

    When a file number is located form the cards, the records description list for VPRS 8916 Subject Files: Annual Single Number Sequence (Personnel Department) should be consulted to determine if the file has been transferred to PROV.

  • Function / Content
    This series of subject index cards was created by the Personnel Registry of the SECV as a means to control the classification of files in VPRS 8916 and to provide access to any file in that series by subject.

    The subject index consists of 200mm x 130mm cards. A card was raised for each secondary heading defined in VPRS 8919 on which were listed all the files raised on that subject. The first secondary card under each primary heading was, always "General", and this card was used when it was the only heading under a specific primary. It was also used when the subject matter for indexing was not specifically covered by an existing secondary heading.

    The entries made on the index cards included:

    Primary and Secondary Subject Index Headings and their numbers, for example Tramways, 274 (Primary); General 1 (Secondary) as allocated from the Authorised List of Subject Index Headings, VPRS 8919;
    Date of the letter;
    Precis (for example. Abandonment of Geelong Tramway); and
    File Number.

  • Recordkeeping System
    This series was created as part of the recordkeeping system which included the files (VPRS 8916), an authorised list of subject headings (VPRS 8919), and a file register (VPRS 8917). Several supplementary indexes were created to provide quick access to files by correspondents name, (VPRS 8920), location (VPRS 8921), by classified positions (VPRS 8922) and by Commonwealth Conciliation and Arbitration Commission Case number (VPRS 8923). A fuller description of the whole recordkeeping system is included with the series description for VPRS 8916.

    The cards were arranged by primary and secondary number as allocated by the Authorised List of Subject Index Headings located in VPRS 8919.

    Date range

    This series indexes files located in VPRS 8916 created between 1978 and 1991. It is assumed that this index was created continuously during that period. The series and contents date ranges are both therefore 1978 to 1991.
