  • How to use the Records
    If researchers have identified file references (see VPRS 8916 for a description of other control records) but have been unable to find the files on the records description lists for VPRS 8916, then the file registration, movement and disposal entries in this series may indicate whether the files still exist and where they may be located.

    For most research purposes, however, this series may only be of use as a last resort to locate file references to personnel registry subject files located in VPRS 8916. This series was primarily used to register the sequential allocation of file numbers and comprises cards arranged in file number order. The cards were also used to record file movement information and may have been annotated with relevant information when files were destroyed or transferred to another department of the SEC.

    Researchers could get file reference numbers from this series by browsing through file titles recorded on the cards. The process is, however, likely to be laborious.

    To use this series consult the records description list and call up the units which hold the cards required by you. Files are listed in annual-single file number order, the first part of the file number being the year in which the file was created, for example, file 85/123 is the 123rd file created in 1985.

  • Function / Content
    This series consists of combined file registration and movement cards which were part of the annual single number filing system used by the Personnel Registry of the State Electricity Commission of Victoria (VA 1002) from 1978 to 1992. This series was created to register the allocation of file numbers and to record and thus track the movement between action officers and the registry of files located in VPRS 8916.

    The cards are pale blue in colour and sized 5x8. Each card has ruled lines on both sides and is divided horizontally to allow information relating to four files to be recorded on each card. Each side of each card is divided into three columns.

    On the facing side the columns were used to record:
    file number;
    file title; and
    the date the file was opened
    Where appropriate the cards were annotated with words such as "Destroyed", "Transferred" etc.

    The reverse side of the cards recorded file movements.

  • Recordkeeping System
    This series was created as part of the recordkeeping system which included the files (See VPRS 8916), indexes to files by name (See VPRS 8920), location (See VPRS 8921), subject (See VPRS 8918 and VPRS 8919), classified positions (See VPRS 8922) and by Commonwealth Conciliation and Arbitration Commission case number (See VPRS 8923).

    The cards are arranged in annual-single file number order. Under an annual single number system file numbers were allocated sequentially from No.1 at the beginning of each year, with the year forming the first part of the file number.

    Date range

    The series date range for this series is determined to be 1978 to 1991 which is the date range of the cards in the P1 consignment.
