  • How to use the Records
    How to use this series

    This index should be used to access the Geelong Regional Planning Authority file portion (1969 to 1977) of the general correspondence files arranged under annual single number sequence located in VPRS 6975.

    Step 1

    Depending on your subject of research, refer to the appropriate subject index card and scan through the list of files raised on that subject.

    Step 2

    Consult the Records Description List for VPRS 6975, General Correspondence Files : Annual Single Number Sequence to locate the file number you want and request the appropriate unit.

    Function/Contents

    This index listed all files created on a particular subject. Files relating to accommodation for example would be listed on the one card in the following manner.

    Accomodation of Computer Operators

    This index was used by the Indexing Clerk to ascertain whether a file was already in existence for a specific aspect of the subject. If there was, the clerk would file that letter on that file. If not, a new file would be raised, the letter indexed on that card and a file number allocated.

    Files relating to GRPA staff/ finance/role and function are listed under three separate headings. Correspondence with other government agencies are grouped under a heading "Government Bodies".

    Although the card index was created between the years 1969 to 1985, only the portion of the index covering the period 1969 to 1977 has been identified and transferred into archival custody.

    End of Series

    In 1985, the system of indexing on cards was replaced by a computerised indexing system. The system was used to generate a Keyword Index (located in VPRS 8867). The Keyword Index listed all files alphabetically under keywords which appear on the file title.
