This series consists of lists of account numbers, details of items chargeable against such accounts and descriptions of various codes used by the Melbourne and Metropolitan Tramways Board (VA 2694) in the creation and control of its accounting system. The series includes, in the P1 consignment, some working papers of the Secretary of the Board because these were accumulated by the Secretary and maintained in the same folder as the classification of accounts.
The P1 consignment appears to be part of the working papers of the Secretary of Melbourne and Metropolitan Tramways Board. They consist of a manilla folder into which is stapled a thirty-five page stencil duplicate printed document and a large number of loose papers which were inserted behind the front cover of the folder. When the records were processed for transfer into archival custody the loose papers were removed and placed in a separate manilla folder.
The printed, stapled document is entitled, "Melbourne and Metropolitan Tramway Board. Classification of Accounts for Electric and Cable Systems and Motor Omnibuses Operative from 1February1925 (Revised as at 2November1931)". The document details the financial accounts against which various items of expenditure were to be charged in the creation of the Board's financial records.
The first four pages detail several alpha or numeric codes which were to be used to indicate the various transport systems, and construction tasks chargeable. Pages 5 to 34 list account numbers and sub-account numbers with an explanation of expenditure items to be charged against each.
The loose papers largely consist of memoranda or notes relating to financial matters. There are also several maps, summaries of historical information, printed forms and notices, and several reports. The date range of this accumulated material appears to be 1932 to 1934 with some of the printed material dated as early as 1923. Some of the papers bear registered file numbers.
Using the Records
The Classification of Accounts may be used, in conjunction with the financial records of the Board, to gain a clearer understanding of the system of charging. The classification of accounts as described in this document is utilized in the following series:

- VPRS 8138 Bus Operations Ledgers
- VPRS 8139 Work Order Ledger
From examination of those records it would appear that the classification of accounts documented in the P1 consignment was in operation from c.1929 to 30June1945. Prior to 1929 and subsequent to 30June1945 different classification systems were employed. Copies of the classification of accounts for those periods may not be extant. In their absence, the date range for this series is based on the accumulation process which produced the P1 consignment. It is assumed this commenced from the date of production of the revised classification of accounts to the last dated document accumulated. The series date range is therefore ?1931 to ?1934.
Preservation Statement
A manilla folder containing thirty-five stencil duplicate printed foolscap sheets bound into the folder by three steel staples down the left hand folded edge. A large number of loose papers of various sizes and types printed in a variety of inks and pencil were inserted inside the front cover of the folder. These have been removed and placed in a separate manilla folder.
