  • How to use the Records
    Part of this correspondence series is indexed in VPRS 10257 Index to Correspondence, 1901-1920 and part is registered by VPRS 675 Register of Correspondence, 1894-1918. Some may also be registered by Units 6 and 7 of VPRS 841 Register of Inwards and Outwards Communications 1864-1919. The relationships between the Index, the Register and the contents of VPRS 807 are not perfect ones nor do these records cover the whole time period of this series.

    To find correspondence on a specific subject or with respect to a specific person:

    Step 1: Consult the annual volume of VPRS 10257 Index to Correspondence that will give a reference number for the correspondence regarding that subject or person.

    Step 2: Consult VPRS 675 Register of Correspondence for the exact correspondence number.

    Step 3: Find the unit, from the Records Description List for the correspondence with that annual single number.

    It should be noted that, where there was a continuing correspondence on a matter the preceding correspondence was top-numbered and attached to the later piece of correspondence. Thus, a piece of correspondence may appear in the Index and Register with a particular number but be unable to be found in the correspondence files. Where possible, later volumes of the Register and the Index may need to be consulted.

  • Function / Content
    The Victoria Police was formed with the passing of the 1853 Act for the Regulation of the Police Force. This vested overall responsibility for the police in a Chief Commissioner appointed by the Governor and established a system for the appointment of other officers with the terms and conditions of their employment. The Office of the Chief Commissioner of Police performed an essential role in central management and administration of the Police Force providing central control, supervision, administration and coordination.

    The correspondence in this series was created as part of the management and administration of the Police Force and as a means of communicating and recording essential matters and information important to the exercises of its law enforcement functions. Matters dealt with concern the administration of the Victoria Police and the exercise of specific functions such as criminal investigation, regulation of motor vehicles and general law enforcement.

    This series is subsequent to the records contained in VPRS 937 Inward Registered Correspondence. Units 1153 to 2569, previously registered as part of VPRS 807 Inwards Correspondence, Annual Single Number have been re-registered as the P/8 consignment of VPRS 2400 General Correspondence Files. Units of VPRS 807 previously numbered as Units 2570 to 2752 have been renumbered as Units 1153 to 1335.

    The P1 consignment was previously registered as VPRS 808/P. The records were reserialised in 2001 as part of the ARAD Project.

  • Recordkeeping System
    All correspondence was registered (see VPRS 675 Register of Correspondence) and given an annual single number. Correspondence was then indexed by subject and person (see VPRS 10257 Index to Correspondence). Correspondence was then filed in registered number order unless top-numbered i.e. attached to later correspondence on the same matter and filed according to the number of the later piece of correspondence.
