    System of Arrangement/Control

    This series consists of three clearly definable correspondence systems. The three classes of correspondence which have been identified are:

    1. general inwards/outwards correspondence
    2. accounting correspondence
    3. contract correspondence including copies of contracts and specifications.

    Ordinarily the correspondence files belonging to the above mentioned systems would have constituted separate series registrations; however it is believed that these files in the P1 consignment represent the only extant files of the Footscray Tramways Trust and as such have been incorporated and retained into one accumulative series.

    1. General Correspondence

    Units one to three contain general correspondence arranged in an alpha-numeric filing system. Pink dividers separate each alphabetical section, each labelled sequentially with alpha-numeric characters eg. A1, B2, C3, D4. Names of each of the alphabetically grouped files have been recorded on each divider. A number of files listed on the pink dividers are missing. The majority of alphabetical sections have a single blue file marked 'Miscellaneous" whose subject matter or correspondent's name correlates to their alphabetical character. eg. under C3 can be found 'Christie & Gardines' (Consulting Engineers). The files include the following types of records:

    - Inward and related outward correspondence
    - Tenders and notifications of supply
    - Contracts and quotes
    - References
    - Copies of legal documents
    - Proposals for the laying of new cables
    - Negotiations
    - Reports
    - Schedules
    - Blue-prints for machinery designs

    2. Accounting Correspondence

    Units four & five contain accounting correspondence, much of which was directed to the Footscray Tramways Trust through their consulting engineers - Christie & Gardiner. The date range of these accounting correspondence files is 1918 to 1920. Files are arranged alphabetically by file title and their contents were then arranged chronologically within.

    - Progress payment sheets
    - Correspondence with firms with reference to tramway machinery & construction
    - Payment forms
    - Applications
    - Reports
    - Inward and outward correspondence
    - Advertisements, specifications

    3. Contract Correspondence

    Unit six contains sundry contracts and related correspondence, specifications, papers relating to the supply of engineering parts and specifications of special work for unions contracts and related correspondence.

    There appears to have been a sequential numbering system for contract specifications but as many of these are no longer extant, the original system of arrangement and control has been lost.
