    This series contains inward correspondence received by either the Chairman or Secretary of the Prahran and Malvern Tramways Trust from the commencement of its operations in 1907 until its functions were incorporated into the Melbourne and Metropolitan Tramways Board in February 1920.

    The correspondence relates to a range of subjects relevant to the administration of the Trust including:

    - contracts and tenders
    - personnel and wages
    - employee unions
    - negotiations with local councils
    - matters of procedure and policy.

    Each letter received a registration number (except those in units 31 and 32) and were arranged in registration number order. The sequence of registration numbers recommences at number 1 at the start of each volume. Each volume contains a looseleaf alphabetical index at either the front or back, in which letters are indexed by sender (company, organisation or individual) and a reference is given to the letter registration number.

    Folder No.3, covering the period July 1900 to January 1910 could not be found when the series was registered for transfer to the Public Record Office in 1989.

    The registration number order largely corresponds to the chronological order of the letters, however as the item list indicates, the date ranges of some folders overlap substantially.

    Units 1 - 2 : letter registration numbers are marked in blue pencil, with the first registered letter being at the front of the folder. No references are made to related correspondence.
    Units 4 - 19 : letter registration numbers are marked in blue pencil with the first registered letter being at the back of the folder and the last letter at the front. No references are made to related correspondence.

    Unit 20 : the registration number of each letter is printed in black in the top right hand corner of each page. There are references to previous and subsequent numbers of letters written in blue pencil in a fraction format.

    eg. 207 = previous letter
    245 = subsequent letter

    Units 21-23
    and 25-30 : the registration number of each letter is printed in black in the top right hand corner of each page. There are references to previous and subsequent letters received from a single sender within each folder written in blue pencil in a fraction format on each referent page.

    eg. 207 = previous letter
    245 = subsequent letter from Town Clerk in St. Kilda

    Unit 24 : the system of referencing previous and subsequent correspondence is the same as for units 21-23 and 25-30, however the registration number of each letter is written in blue pencil in the centre top of each letter. Researchers should be careful to distinguish between a letter's registration number and those of previous and subsequent letters by the same author, which are written in a fraction format.

    Unit 31 : this folder is the final part of the Trust's General Correspondence System, however the letters have not been given registration numbers. The letters are arranged in order of date of receipt, the earliest letter being at the back of the folder. There is no index to this folder.

    Unit 32 : this folder contains correspondence from Noyes Bros. Construction Engineers received between July 1908 and February 1913. The correspondence largely consists of estimates of the costs of various construction projects.

    Unit 33 : was not found with the main part of this series, though it appears to be a part of the same correspondence system. Possibly unit 32 bears a similar relationship to the main series as this unit. The letters are registered in similar fashion to units 4-19, though the pencil colour is purple, with no cross-referencing to other letters.
