  • How to use the Records
    System of Arrangement/Control

    Series in Custody : Volumes are arranged chronologically with sequential numbering of volumes.

    Contents in Custody : Individual letters within volumes are arranged chronologically by date of letters. Letters in last volume are annotated with folio numbers for previous and subsequent letters sent on same subject and found in the same volume.

    Index : Each volume contains an alphabetical recipient index which refers users to folio numbers.

    Series comprises outward letter books of the Chief Engineer of the Melbourne and Metropolitan Tramways Board (VA 2694). Individual letters refer to matters such as construction, employment and land acquisition issues.

    Volumes are arranged chronologically with the two volumes in custody numbered 5 and 8. Individual letters within each volume are arranged chronologically by date of letter. Each volume contains an alphabetical index identifying the recipient of the letter and the folio number.

    Letters in the last volume of the P1 consignment are also annotated with the folio numbers for previous and subsequent letters sent on the same subject which are found within that volume. This is generally expressed as a fraction with the denominator identifying previous items and numerator identifying subsequent items.

    It is thought that letters from the Chief Engineer were included within VPRS 7763 Outward Letter Books at some stage after 1925, however, this is subject to further research.

    Relationship of series to VPRS 7769

    It is thought that VPRS 7769 Outward Letter Books : Chief Manager and Acting Chief Engineer ended in late 1922 when the incumbent, who held both positions simultaneously, retired and fresh appointments were made to both the Chief Manager and Chief Engineer positions. The relationship of this series to VPRS 7769 is at present unclear. Contents of VPRS 7769 in custody currently comprise a volume 1 and volume 3 suggesting that this series comprises volumes which continue a sequence which the Chief Engineer inherited. With the absence of a volume 4, this possibility could not be adequately established, and it was therefore decided to register the two sequences as separate series.
