  • How to use the Records
    Researchers should either consult the Nominal Index to Industrial Inquiry Files VPRS 8864 or the Keyword index (Computer Output) VPRS 8867.

    The Nominal Index is arranged alphabetically by the name of the Company or individual making the enquiry and provides the file number i.e. GRC138/1 to GRC138/1253.

    Once you get your file reference number, you need to consult the Records Description Lists for this series and identify the appropriate unit number.

    The Keyword Index lists all files alphabetically by Keywords which appear on file titles for example, a file titled Department of Labour : Circulars would be indexed under the keywords " Department" " Labour" and " Circulars". This index provides the file reference number i.e. GRC138/1, the series, consignment and the unit numbers.

  • Function / Content
    This series consists of Industrial Inquiry Files created by the Geelong Regional Commission between 1978 and 1987. The contents date from 1972.

    The Industrial Inquiry Files were created by the Economic Development Division of the Commission for every industrial and commercial inquiry that was received and required action by the Commission. The files document regional development activities of the Commission covering industrial enquiries. Other regional development activities included public sector projects, marketing of the Commission's Industrial Estates

    The Industrial Inquiry Files contain all information relating to the body making the query and all the subsequent steps taken by the Geelong Regional Commission.

  • Recordkeeping System
    In 1977 the Geelong Regional Commission succeeded the Geelong Regional Authority (VA 2830) and abandoned an annual single number filing system (VPRS 6975) in favour of a system in which files were allocated a single number. File numbers were allocated from File Registration Cards (see VPRS 8865).

    In 1979 it was decided to abandon the single number system and revert back to the previous system. Accordingly all of the files (and file registration cards) created in the single number sequence, which ranged from GRC 1 to GRC 290, were top numbered into the annual single number system in the following manner:

    - files created during 1977 were allocated file numbers commencing with 1977/42 (1977/41 being the last file created by the Geelong Regional Authority before the single number sequence was established).

    - files created during 1978 were allocated file numbers commencing with 1978/1, and

    - files created during 1979 were allocated file numbers commencing with 1979/1.

    The only files not top-numbered at this time were Industrial Inquiry Files which were numbered sequentially with the prefix GRC 138 from 1978. The Industrial Inquiry Files continued as a separate single number system till 1987 when they were incorporated into the annual single number system (VPRS 6975).

    P1 consignment: The files in this consignment are basically in sequence even though some are single-number (e.g., 1, 2, 3, etc.) and others have both alphabetical and numeric characters (e.g., GRC 138/81, GRC 138/82, etc.):

    * GRC stands for Geelong Regional Commission,
    *138 was the classification number for Industrial Inquiry Files (it is assumed), and
    * 81 was the eighty-first industrial inquiry file.

    The use of the alpha-numeric code became more consistent from file GRC 138/118 onwards.

    There is both a file numbered 1 (one) and a file GRC 138/1 in the sequence. On the whole, numbers were not used more than once.

    Registration cards created to register the Industrial Inquiry Files (numbered GRC138/1 to GRC 138/1253) were not extant at the time of this transfer.

    It appears that Subject and Name Indexes were created as part of the single number recordkeeping system, however, the only control record extant is VPRS 8864 Nominal Index to Industrial Inquiry Files.
