  • How to use the Records
    Access to these records is through an index system dating from 1853 to 1989 when a computerised system of registration, Lifedata, was introduced. Microfiche copies of the indexes have been transferred into the Public Record Office asVPRS 7291 and are used in the following manner:

    1. Consult the index by
    year of the death
    surname of the deceased
    given name(s)
    parents' names
    mother's family surname
    place of death
    date of death

    2. Note the registration number

    3. Determine the number of the film that would contain that particular registration number (refer records description list)

    Registers, Microfilm Copies

    This series is the master microform copy of the hardcopy VPRS 8340 Death Registers for the period 1961 to 1989.

    The filming of the Registers began in March 1979 and was terminated with the introduction of Lifedata, the computerised system of registration, in 1989.

    The number of rolls of film used to capture registrations for any one year varies. Generally each roll of film contains five thousand registration entries, however some films contain less than five thousand entries and some more. It depends on the number of registrations for the year being filmed and the paper size used to record the original entries.

    Each box containing a roll of film is numbered and annotated with the registration numbers of the entries captured thereon.

    Consignments

    The R1 consignment consists of deaths registered between 1962 and 1981.

    The R2 consignment consists of deaths registered in 1961 and between 1982 and 1989.

    Centralised system of Registration, 1961 - ct

    From 1893 until 1986, legislative responsibility for the registration of births, marriages and deaths was with the Office of the Government Statist and Actuary (VA 989). However in 1983 when this Office was transferred to the Department of Management and Budget, operational responsibility remained with the Registry of Births, Deaths and Marriages.

    With the proclamation of the Registration of Births, Deaths and Marriages (Amendment) Act 1985 (No.10244) on 31 October 1986, legislative responsibility passed to the Registry of Births, Deaths and Marriages (VA 983).

    A centralised system of registration for Births and Deaths was introduced in 1961 when the previous system of registration by District Registrars was abandoned in favour of central registration at head office, 295 Queen Street, Melbourne.

    Information Forms for Birth and Death registrations are an integral part of the registration system (refer VPRS 10262).

    In the case of deaths, Funeral Directors supply the information form to the person arranging the funeral or a person with a knowledge of the facts who completes the form giving the necessary details to be forwarded to the Office of the Government Statist to effect registration of the death. These forms are signed attesting the information therein to be true and correct.

    The Funeral Director is obliged to complete a form giving details of the burial of the body and a Medical Practitioner or Coroner, as the case may be, authorises the burial by completing a Medical Certificate of Death or Order of Burial.

    Registration of the death could not be effected until all of these papers had been received by the Government Statist or Registrar, as the position became known after the 1986 changes to the Act.

    The forms were sorted daily in the following order:
    the date of death
    the place of death in alphabetical order by the name of the municipality where the death occurred

    Following that sort the forms were then allocated a registration number, and a registration entry was electronically made onto pre-printed forms for inclusion in the Register. These folios were bound in the Register according to registration number.

    Information recorded in the Registers

    The registration entries were recorded in the Register in numeric order by registration number and detail the following:
    full known name(s) of the deceased
    date of death
    place of death
    cause of death

    and if known
    place of birth of the deceased
    parents' names
    mother's family surname
    father's occupation
    marriage details
    children born of the marriage
    name of the informant of the information recorded

    Arrangement of the Registers

    The Registers from 1853 to 1989 are numbered and arranged in numeric order from 1 to 2192.

    As the folios in the Registers for 1961 to 1989 are bound according to registration number, they reflect the centralised system of registration.

    The volumes are marked on the spine with reference to the registrations bound therein and show the following information:
    the year of registration
    the range of registrations, by registration number, bound in the volume
    the number of the volume in the series of Death Registers, 1853-1989

    Indexes

    Each registration, uniquely numbered from one each year, appears in an index for that year showing:
    the full registered name of the deceased
    the date and place of death
    age of the deceased
    the parents' full names at the time of the death
    the mother's family surname
    the entry number of the registration in the Register
