  • How to use the Records
    Examine the consignment details to identify items of interest. Films in the P0 consignment are arranged alphabetically by film title apart from the first five items. Films in the P1 consignment and tapes in the P2 consignment are generally arranged alphabetically but there are exceptions. Therefore, the entire list for the each consignment should be examined.

  • Function / Content
    This series comprises cine films, videotapes and audiotapes made or accumulated by the State Electricity Commission's Public Relations Branch and, from 1997, the Office of the Administrator.

  • Recordkeeping System
    The administration processes in which these films and tapes were originally created or accumulated have not been researched. Preliminary observations include the following:

    System of arrangement -- P0 consignment

    Nearly all films in the P0 consignment and many in the P1 consignment are in containers that have labels which identify them as part of the State Electricity Public Relations Branch film library.

    Film library container labels in the P0 consignment each include a reference number, with the highest number being in the hundreds. These reference numbers have been struck out and replaced with numbers that equate to PROV storage unit numbers. Regardless of how the films might have been arranged originally, it seems that they were arranged alphabetically by film title for transfer to PROV and renumbered accordingly.

    System of arrangement -- P1 consignment

    Public Relations Branch film library containers in the P1 consignment have reference numbers which appear to be from the same sequence as the original reference numbers of films in the P consignment.

    The consignment also includes containers that do not have Public Relations Branch labels.

    All film containers in the P1 consignment have two barcode labels, whether or not they have Public Relations Branch labels. The first barcode label refers to a Supervision Production number. The second barcode label, which includes a number with the prefix SECH, was attached by consultants who compiled a database of SECV records in 2000.

    Some film containers also have SECV document numbers. These appear to be the document numbers of lists in some of the crates in which the films were transferred to PROV in 2001.

    All film containers in the P1 consignment have shelf and can location numbers. It appears that in their final active order the films were arranged by Supervision Production number, then by shelf number, then by can number.

    System of arrangement -- P2 consignment

    Similar to the P1 consignment, except that there are no Public Relations Branch labels or reference numbers on the items.

    Date range

    When the P0 consignment of films was transferred to PROV in 1983, the start date of the series was given as 1949. This has not been researched further. However, the films contain images from as early as 1912.

    Disposal considerations

    The Records Description Lists indicate that there is some duplication within the P1 consignment and between the P1 and the P0 consignments. Also, all consignments appear to contain non-Public Relations material, such as training films and internal staff circulars, which could be destroyed in accordance with PROS 2007/01.
