  • How to use the Records
    1. Consult the alphabetical indexes of schools in volumes 1 to 3 to find the folios upon which details are recorded and then consult the Records Description List for the volume containing those folios

  • Function / Content
    This series contains the details of the giving of aid to local schools for new buildings, for additions and renovations and repairs to existing buildings, the nature of materials used in the buildings and the financing of the works. Applications for aid to new schools were initially registered in VPRS 897 Register of Applications for Aid to new Schools and Applications for New Schools. All further business was registered in these volumes. This series also contains records relating to schools already in existence.

    Details given are the school name and number, the numbers of letters (registered numbers of correspondence), Dates of Receipt of initial application and the formal application, the Name of the proposed school, the nature of the aid applied for and the total cost, details relating to reports from the Inspector, details of the site including the site, the names of other schools within two miles and natural hazards, the nature of the population and the numbers of children within two miles, details of the plans and specifications and the Board's Order, details of the amount of money involved and of the authorisation and payment of the grant and details relating to building operations and the nature of the materials used. For some entries there are small sketch plans and pasted in copies of obligatory Government Gazette notices.

    Other records are included in the first three units. In Unit one there are consecutive lists of new schools, of schools granted aid for repairs and for grants made since 3 Oct 1867. As well there are lists of schools and applications which the Board was unable to grant in 1867, a list of cases to which the Secretary's minute 17 Feb 1869 "reply no funds; but will be considered when funds available" applied and General Memoranda. Also, at the back of the unit is an inventory of the real property of the late Board of National Education giving details of number, locality, the name of the school, the nature of the building erected, the extent of the site and whether the property was conveyed to the Board (of Education) or only reserved.

    Unit 2 contains pro forma for correspondence which the Board might be obliged to send in relation to applications for aid whilst Unit 3 contains procedural directions for the guidance of staff dealing with these matters in the Board of Education offices.

    Correspondence listed in these registers was registered in VPRS 898 Registers of Inwards Correspondence: Annual Single Number System and may be found in VPRS 795 Building Files: Primary Schools (for which the school number is required) or in VPRS 903 Inwards Registered Correspondence (for which the registered number is required.

  • Recordkeeping System
    A double folio is allocated for each school with entries being chronological based upon the date of the first substantive correspondence. Many volumes (but not all) have an alphabetical index of school name and the folio upon which details are recorded.
