How to use the Records
Researchers with a specific subject or searching for correspondence in VPRS 425 from a particular official or person should consult this series first to identify the registration number of the correspondence. VPRS 427/P covers the period 1878-1956, and VPRS 427/P1 covers 1867-1871.
Researchers should also note that Units 1-4 of VPRS 429 Registers of Inward Correspondence have alphabetical indexes sewn into the front of each unit.
Once a registration number has been obtained, go to the Registers (VPRS 429) to obtain the registration numbers of any subsequent items of correspondence. The correspondence file will be filed in VPRS 425 by the top number or the last number in the chain of correspondence.
For more detailed instructions on how to use the records, consult the series text for VPRS 425 Inward Registered Correspondence, Annual Single Number System.
Function / Content
This series consists of indexes, which control the inward correspondence in VPRS 425. Once a registration number had been allocated to an item of inward correspondence (from VPRS 429), and recorded on the item of correspondence, the entry in the Register of Inward Correspondence was indexed in VPRS 427.
Entries were indexed under the relevant alphabetical tag, by the surname of the sender, or the name of the government department (eg Lands) or the position of the sender (eg Secretary for Railways), and also by subject (eg Tenders).
Recordkeeping System
Entries in this series are arranged alphabetically by the surname of the sender, the name of the government department (eg Lands), the position of the sender (eg Secretary for Railways), as well as by subject (eg Tenders).
The registration numbers of all items of correspondence for that sender/subject are recorded, for the date range of each unit.
