  • How to use the Records
    If file number is known, consult the list of records in this series.

    If file number is not known, researchers will need to consult VPRS 7672 List of Classified Subject Headings for Correspondence Files in order to use this series. VPRS 7672 is a list of classified subject headings and corresponding classification subject numbers (i.e. primary and secondary numbers). Correspondence is arranged under classified general subjects expressed in the form of a multiple file number. New files were raised and closed annually within each classification subject heading.

    It is assumed that a register detailing the allocation of tertiary file numbers was also created by the agency although no such record has been located to date.

  • Function / Content
    This series consists of correspondence files of the Central Registry Branch of the Office of the Chief Commissioner of Police (VA 724). Correspondence relates to the general administrative activities of the Victorian Police Force. This series appears to be the successor correspondence system to VPRS 807 Inward Correspondence Files.
    It would appear the first consignment of VPRS 2400 (i.e. P000) was missing 324 boxes when initially transferred to PROV. The P1 consignment of 324 boxes appears to fill this gap.

    Prior to the transfer of the P4 to P6 consignments the series consignments 1 to 3 were classified as review consignments. This was due to confusion between VPRS 807 and VPRS 2400 which had not been resolved. All consignments have now been reclassified as Permanent.

    The P8 consignment was originally registered as Units 1153 to 2569 of VPRS 807.

    The P11 and P12 consignments comprises of predominantly ethical standards complaints files.

  • Recordkeeping System
    The arrangement of the correspondence system changed in 1935 from an annual single number sequence to multiple number sequence files.
    Correspondence is arranged under classified general subjects expressed in the form of a multiple file number. This multiple file number is comprised of a primary number which is the subject heading, a secondary number which is a sub-heading, and a tertiary number which is the sequential file number allocated to each individual case file on a particular subject, for example:

    17 | 84 | 2
    Crime | Sly Grog | (2nd file in this classification)

    New files were raised and closed annually within each classification subject heading. The tertiary number sequence, however, only recommenced whenever alterations were made to the classification headings. In other words, the first file created for a particular subject heading within a given year will not usually be the number 1 but rather the next available number in the sequence.

    The classification subject headings were changed in 1967 and 1979 as well as being modified at earlier dates.
