As of March 2018, the records in this series are not available via the online catalogue, and may not be until some time in 2019. This is due to PROV transitioning to a new Digital Archive. Please direct all enquiries for access to the digital records to PROV.
Function / Content
This series contains content that was provided to legal representatives of parties with leave to appear before the Royal Commission into Family Violence (RCFV), during the hearings phase. Certain written submissions are included, some of which may be redacted.
This series also contains aide memoirs and briefs to Commissioners, of which there are approximately 45 separate briefs.
Note that some material in this series is subject to an order prohibiting the publication of any information that may enable the identity of the person who has given information or evidence to the Commission to be ascertained. Specific CourtBooks that are known to be subject to an order have been flagged as such.
This CourtBooks series consists of two consignments - P0001 are digital records; and P0002 are physical records.
Consignment P0001 digital material is made up from two separate repositories:
* From Microsoft SharePoint -
This is the digital copy of the briefing material supplied by the RCFV Legal team to the Commissioners and Counsel for each day of hearings (public and private). Hearings days explored specific themes, known as modules (e.g. Module 02 Children Introduction and early intervention; Module 03 Children Intervention and response). The records consist of copies of the days witness statements and their annexures, submissions where relevant (some are redacted for privacy reasons) and other supporting documents, as relevant.
* From Pipen -
These consist of materials served to the relevant parties' representatives by the RCFV before being presented in hearings (generally the Victorian Government Solicitors Office). These records largely consist of witness statements and their annexures. They may include some draft materials when a signed statement was unavailable.
Consignment P0002 is made up of physical records. The records consist of the hardcopy of the briefing material supplied by the Legal team to the Commissioners and Counsel for each day of hearings (public and private). Hearings days explored specific themes, known as modules (see above for examples). These consist of copies of the days witness statements and their annexures, submissions where relevant (some redacted) and other supporting documents as relevant. The Commissioner's copies are the primary set; and annotated material from the other Commissioners or Counsel have also been included in this consignment, where relevant.
Recordkeeping System
Consignment P0001 of this series used both the Microsoft SharePoint and Pipen system. SharePoint is a browser-based collaboration and document management platform. SharePoint was used by RCFV as an initial 'holding' tool for documents, where they were collected and logged. From SharePoint, documents were generally then imported into the Ringtail system. Pipen as it was used during the RCFV describes a recordkeeping workflow for service on the various parties who worked on the Commission. Documents in Ringtail were tagged for service (in a metadata field), then exported and uploaded to a secure File Transfer Protocol (FTP) site. The parties would be notified that the material was available and would download it, to import it into their own recordkeeping system (generally Ringtail). The document set in this consignment represents what was served, on whom and when - this is reflected in the File VEO name which is made up of: the service tranche number / the date (yyyy/mm/dd) / the party.
Consignment P0002 consists of physical records. The records are organised into: hearings days 1 to 25 (and then module [theme] number); witness statements weeks 1 to 4; transcripts of hearings; transcripts of round table discussions; submissions; reference materials; community consultations; and Establishment of the Royal Commission briefs and other background and research notes/materials.
