  • How to use the Records
    Consult the list of records in this series to locate the case record of interest.

  • Function / Content
    The Children's Court Clinic (VA 5032) conducts assessments and provides reports on children and their families at the request of Children's Court magistrates.

    Children's Court Clinic Case Records include, but are not limited to, Court referral details, family histories and information about family structure, original notes of clinician, results of clinical testing, details of treatment provided, correspondence and Court report.

    Each file may contain records relating to multiple clients (i.e. members of the same family referred to the Clinic.)

  • Recordkeeping System
    The files are arranged by financial year, then by the colour of the file folder and then alphabetically by last name.

    Nine different file colours are used. The coloured files are utilised to assist with locating files throughout the office, and do not hold further meaning or function. The colour of the file is noted in the 'Red Book', the register where the File Number is sequentially assigned at the time the file is created.

    When a new client is referred to the clinic, a file is created and the file colour is whatever is randomly available/assigned at that time. When previous clients are referred again to the Clinic, a new file is created and the same file colour is utilised.

    FILE NUMBER
    Example: 08/09-142 [one client, one file number, one physical file]
    Example: 08/09-257,258,259 [multiple clients, multiple file numbers, one physical file]

    YY/YY NNN = Financial Year that the record was created in (i.e. 08/09), then a sequential file number.
    08/09 -142 is the 142nd file number registered in that financial year.

    Note that if a client visits the clinic on more than one occasion, multiple files will be created. Most of the case records will list previous file numbers on the cover. Occasionally, files related to the same case are consolidated into one case file. Therefore, the contents of the file will relate to all the file numbers listed on the cover.

    CLIENT ID
    Numeric value assigned and maintained in client management database (EMU). Each client has one unique Client Id.
    Example: 5245

    CASE ID
    Numeric value assigned and maintained in client management database (EMU). Not all case records have a recorded Case Id number on the cover.
