  • How to use the Records
    Files are arranged by file number and title. Researchers can search for a specific file at the item level (at unit level for some files) by file number or by a search on file title. Researchers may also search for files by an internal division of the Department as the file numbers contain an alpha prefix code which was used to identify the division which was the primary user of the files (see section Recordkeeping System for list of alpha prefix codes and corresponding internal divisions where known).

  • Function / Content
    This central correspondence series contains files on a wide range of matters for which the Department of Education had responsibilities, for example policy setting and planning; public school councils; capital works / property maintenance of public primary schools (PS) and secondary colleges (SC) and other institutions; and educational programs. The series also includes the agendas, minutes and papers of the Adult, Community and Further Education Board (VA 4280)

  • Recordkeeping System
    The files were created in RECFIND, a Windows based electronic records management system used by the Department of Education.

    Each file was registered in an annual / single number sequence with an alpha prefix. The alpha prefix identifies the internal departmental division that was the primary user of the files. As an example, file FAC/99/01595 - the FAC refers to the Facilities Division; the 99 represents the year the file was created, i.e. 1999; the 01595 indicates it was the1595th file created in that year. The files also contained part numbers.

    The alpha prefix codes used to identify internal divisions are:

    FAC - Facilities Division
    FAS - [division name unknown]
    HRD- Human Resources Division
    INT - International
    LSP - Learning Support Projects
    LTI - Learning and Teaching Innovations Division

    ODS - Office of Departmental Services
    OLT - Office of Learning and Teaching
    OOS - Office of the Secretary
    OTFE - Office of Technical and Further Education
    OTT - Office of Training and Tertiary Education
    PPD - Policy and Planning Division
    PRO - [division name unknown]
    PSD - Personnel Services Division
    RSB - Registered Schools Board
    SCD - School Community Development
    SCL - [division name unknown]
