Description of this SeriesDescription of this Series
  • How to use the Records
As the series was arranged by file number, researchers will need to first identify the file number required in order to access the relevant card in this series.

Correspondence file numbers may be obtained from annotations on parish plans.
    OR
Correspondence file numbers may be obtained by consulting VPRS 14320 Register of Inward Correspondence, Mallee Division and noting the relevant correspondence number.

These cards may assist in establishing the final location for correspondence files, or provide alternative file numbers.

  • Function / Content
File management cards in this series are for Mallee Division.

From 1943, file management details for Crown Lands Correspondence Files (see VPRS 441) were transferred on to cards. Details given are the file (or identifying correspondence number as given in the register of inwards correspondence), the name and address of the person or organisation and the description of the land in terms of parish, section and allotment or block number and area. On some cards, the purpose for which the land was used may be noted. Others have, where the file has been transferred to PROV custody, the location of that file. File management details are dates for the addition or despatch of correspondence, 'call-ups' of the file for action to be taken and notations of the sending of the file to other sections of the Department of Crown Lands and Survey (VA 538) such as the Deeds Branch or the Accounts Branch.

For this Division, a card was created for each piece of correspondence registered in VPRS 14320 Register of Inward Correswpondence, Mallee Division. Where a file already existed, the card had the registration number, the name of the correspondant and the existing land file number. Researchers should consult the microfiche catalogues in VPRS 7311 and 7312 and series of various land files to see if these files are in custody. These cards are green in colour whereas those for new correspondence and thus new files are white in colour.

  • Recordkeeping System
Cards are in sequential number order which is roughly chronological.
