Subject to further research, this series indexed subjects covered by inward general correspondence to VA 912 Trustees of the Public Library Museums and National Gallery of Victoria, VA 431 National Museum of Victoria, VA 913 Public Library of Victoria and VA 930 National Gallery of Victoria. The correspondence was registered in VPRS 800 Register of inward correspondence and filed in VPRS 805 Inward Registered Correspondence.
For each inward letter, the series recorded the letter number (letters were numbered in an annual single number sequence) and a brief description of the subject. Entries were made within alphabetical sections.
It is not certain which agencies recorded this series. The Public Library of Victoria (from 1960 the State Library of Victoria), the Museum and the National Gallery of Victoria were located in the same building until 1968, and the administrative relationships between them have not been researched. In addition, the relationships between these agencies and their Trustees have not been researched. This series contains entries for letters received from organisations, individuals, the Directors of the Museum and Gallery and the Librarian. This implies that the series was created by or for the Trustees.
The commencement date for this series has not been ascertained. The first entry for most alphabetical sections relates to correspondence received in 1899, with subsequent entries being in neither lexicographical nor numerical sequence. This implies that compilation of the index began in 1899.
It is assumed that the series comprises only one foolscap volume, which is labelled "Subject Index." Most entries in the volume refer to correspondence received from about 1898 to about 1920. A few entries refer to correspondence received in the late 1930s and the early 1950s.
