- Function / Content
This series appears to have recorded a wide range of the Exhibition Trustees' administrative activity. It comprised inward and outward correspondence and internal memoranda.
- Recordkeeping System
Until about 1992, files in the series were registered in accordance with a classification scheme in which each broad function was allocated a number and an alphabetical code. Within each classification the general policy file was identified by the number and alphabetical code, and then action files were numbered sequentially. For example, for the Reports function the policy file was 4/EXORG, the first action file was 4/1/EXORG, the second action file was 4/2/EXORG, and so on. Evidence of the classification scheme is derived from an index dated 21 April 1988. A copy of the index was found with this series in 2003, and was registered as VPRS 14931 Index to General Correspondence Files, Alpha-numeric Series I.
The classification scheme was revised in about 1992. The alphabetical code was omitted from the revised scheme, and some classifications were renumbered. The contents of some files were put in new covers, which were numbered according to the revised scheme. (The old scheme used file covers headed "The Exhibition Trustees," while the covers used in the revised scheme had the heading "Royal Exhibition Building.") In many cases the papers in the new files retained references to their original file and folio numbers.
When the series commenced is subject to research. The oldest item of original correspondence on file 1/EXORG was dated 1946. The series appears to have ceased no later than February 1994, with some files being top numbered into a second general correspondence series, VPRS 14395 General Correspondence Files, Alphanumeric Series II. What appears to be a file list dated February 1994 cross-referenced some files in the first series (without alphabetical codes) to file numbers in the second series. The 1994 file llist was registered as VPRS 14394 List of Files, General Correspondence Series, Alpha-numeric Series II.
In April 1996 responsibility for this series (VPRS 14393) passed to VA 3152 Council of the Museum of Victoria (known as Museums Board of Victoria from 1997; and also known as Museum Victoria from 1998). The Museum removed the contents of some files in this series and in VPRS 14395, particularly those pertaining to Lettings of the Royal Exhibition Building (i.e., organisers of exhibitions held at the Building), and transferred them to a subject based series. Extant time-expired files were destroyed in accordance PROS 96/13 General Disposal Schedule for Common Administrative Records.
