  • How to use the Records
    Call up the unit and scan the registration cards.

    Each card raised for a secondary heading lists all files raised under that heading. In a column on the left of each card is recorded the tertiary number which is an element of a file number that uniquely identifies a file.

    When a relevant file is located, take note of the primary, secondary, and tertiary numbers.

  • Function / Content
    This series consisted of file registration cards that were part of the multiple number system that was in use from 1973 to 1987. This series was created to register the files created under the multiple number filing system. A card was raised for each secondary heading. All files created under each secondary heading were listed on the one card.

    The information recorded on the cards included:
    - Primary Headings and primary number
    - Secondary Heading and secondary number
    - Tertiary Number, (ie the file number)
    - Date file opened, and
    - File title.

    Tertiary numbers were allocated to new files at the time of registration of the file. The next available number in sequence on a particular card was used as the tertiary number for the newly registered file. The complete file number had three parts derived from the primary and secondary heading numbers with the tertiary number being the third element.

  • Recordkeeping System
    The correspondence files of the Ministry for Arts was registered, classified and controlled under a multiple number system. The recordkeeping system comprised the following series:
