  • How to use the Records
    This series was used to allocate a registration number to each item of correspondence received, to record brief details of its subject matter, and to record the registration numbers of any previous and subsequent correspondence on the same subject, so that a correspondence files top number could be obtained.

    Inward correspondence files are registered with PROV as VPRS 1163. In order to access the correspondence files, the files top number (that is the registration number of the last item of correspondence on the file) must be obtained from VPRS 1164. To do this, follow the chain of registration in the Registers until you come to an entry that has no subsequent reference. The file number recorded with this entry will be the top number under which the records have been filed in VPRS 1163.

    If you already have a registration number, consult the numerical index at the front of each unit to obtain the folio number of its entry within the register. Researchers should note that the numerical indexes for Units 2, 3 and 4 are missing (1884-1885).
    If there is a particular subject which you are interested in, consult VPRS 12188 Subject Index to Inward Correspondence Files, which covers the period 1883-1893.

    For the period 1903-1917, subject indexes can be found at the back of each unit of VPRS 1164.

    Once you have found the entry in the Register, check the column headed Attached Papers for the registration (and folio numbers within the Register) of any previous or subsequent correspondence. The chain of registration must be followed to the last item of subsequent correspondence to obtain the top number.

    To obtain the correspondence file, consult the Records Description List for VPRS 1163 Inward Correspondence Files which will indicate if it is in PROV custody and if so, note the required unit number. If your registration number cannot be in VPRS 1163, also consult the RDL for VPRS 1170 Special Files.

    This series is the Register which controls VPRS 1163 Inward Correspondence Files. This series was used to allocate a registration number to each item of correspondence received, to record brief details of its subject matter, and to record the registration numbers of any previous and subsequent correspondence on the same subject, so that a correspondence files top number could be obtained.

  • Recordkeeping System
    The entries in the Register are arranged by subject, with tags indicating the start of entries for a particular subject. Unfortunately, many of these tags are barely legible.

    The registration numbers of items of inward correspondence were allocated sequentially as each letter was received, from the numerical index at the front of each unit.

    Next to the entry for each registration number in the numerical index is the folio number of its entry in the Register.

    For the period 1903-1917, there can be found at the back of each unit a subject index to the entries within.

    A separate subject index also exists for the period 1883-1893 (see VPRS 12188 Subject Index to Inward Correspondence Files).
