  • How to use the Records
    Researchers should consult the consignment details to locate the name of the prisoner (the names are listed alphabetically).

    Alternatively researchers can check the Classification Files Card Index (VPRS 11765) to ascertain if the person they require was imprisoned.

  • Function / Content
    The cards were created to provide a sentencing history and a physical description record of a prisoner that could be transferred between prisons.

    Typically each card would contain a photograph of the prisoner, a record of the prisoners remand, trial, any prior convictions and any appeals. It would also denote any changes in the prisoners classification (eg. transfer to another prison). If the prisoner was a migrant the card usually gives the date and name of the ship that the prisoner arrived in Victoria.

    Not all the cards are numbered, some of the prisoners may have only stayed overnight or been held in remand pending trial.

  • Recordkeeping System
    Originally this series appears to have been controlled by several different numbering systems including the Prisoner Record Number used to control prisoner records prior to 1959 and the annual single number system used to control prisoner records from 1959 until 1985. Some cards have been amended to also include the Corrections Record Number (CRN), which began with the advent of computerisation in 1985. A possible explanation for this is that the cards annotated with the CRN were cards pertaining to prisoners still in the prison system when computerisation commenced. The physical location of the cards also varied. Some were located at particular prisons, while others were located centrally at the Melbourne Reception Centre (which was part of the Pentridge complex).

    As a consequence of this in 1996 when the records were being processed for transfer to secondary storage the cards were arranged alphabetically by prisoner surname to aid in retrieval. A card index system for prisoners was subsequently discovered during the closure of Pentridge prison in 1997. It is essentially an index to the Classification files (VPRS 8818) and Male Prisoner Cards for prisoners imprisoned between 1956 and 1985. The card index has been transferred to PROV custody (see VPRS 11765).

    Previous and Subsequent Series

    Prior to 1948 the primary record was the Central Register of Prisoners (for males VPRS 515). These registers included much of the same information as this series.

    The sequential numbering sequence for prisoners continued until 1959 in the form of cards. These cards are incorporated into this series. For more information see VPRS 11508.

    In 1959, due to a review in recordkeeping practices for prisoner registration an annual single number system was introduced. These files have also been amalgamated into this series. For more information see VPRS 11509.

    The card system ceased in 1985 with the advent of computerisation. The classification files (VPRS 8818) contained more detailed information concerning the prisoners history during their time of incarceration. The Individual Management of Prisoner File (I.M.P) (VPRS 11760), which began in 1992 also contains similar information.

    The summary information that this series contains is now found on the computer database system Prisoner Information Management System (PIMS), the outputs of which are still to be appraised by PROV staff as at February 1998. It should be noted that the CRN is also generated by PIMS.
